• Job-relevant previous experience in Facility/Property Management, Procurement, Hospitality
• PC Literate
• Strong interpersonal and negotiation skills
• Tender & negotiation skills, third party management skills
• Experience within agile ways of working is preferred
• English – good communication skills
• Advanced PC user, high level of proficiency in MS Office applications


The Core Operations Specialist contributes to improving customer experience by ensuring safe and comfortable environment in the MEGA Meeting Place.

Actively contributes to developing the Meeting place towards becoming the most sustainable Asset on the local market.

• Creates/ follow up the local sustainability Action plan (program) in accordance with Ingka People & Planet Positive Strategy and other internal requirements that inspires and enables people to live healthy & sustainable lives involving all channels, engaging other colleagues and partners into cooperation, exchange of ideas, work within fit-for-purpose teams, proactively cooperating with IKEA.
• Executes trainings on Inkga Centres’ sustainability vision and practices to be applied in the Meeting Place for customers, partners, co-workers;
• Together with Facility Management team secures that all relevant ecological & environmental aspects, procedures and reports are timely executed and compliant to the local legislation;
• Together with support of Facility Management team secure compliance of the Meeting Place with the BREEAM-in-use standards and other relevant certifications;
• Improves and innovates customer experience through new customer touchpoints implementation, upgrading & keeping in shape as new existing ones and other relevant projects realization in close cooperation with relevant team members;
• Support Safety & Security Leader with upkeeping health and safety related procedures and documentation in the Meeting place by engaging relevant sub-contractors, actively participates in the inspections with the local authorities as well as internal inspections.
• Prepares, updates and follows up on local transportation strategy in Meeting Place including parking organization, official traffic scheme and transportation hub managing;
• Responsible for timely execution of tenders for contractors under his/her responsibility including but not limited to creating employer’s requirements, scope of work, relevant tender documentation etc. Secures long-term relationship with service providers. Secures proper claim management process in case of disputes; Ensures legal compliance and Company standards, active participant of internal inspections and check-ups;
• Is responsible for general smooth operation of Meeting Place Management office & and staff area in all aspects as well as its overall appearance and conditions, including but not limited to office supplies, technical equipment, meeting rooms, meetings organization and support etc.
• Supports Meeting place team in localization, implementation and follow-up of operational standards, strategies and processes by developing local routines and procedures for the contractors and fulfilling other assigned relevant tasks.
• Responsible for document management process, develop and implement a unified system for storing the documentation of the Meeting Place, carry out activities for handling documents in accordance with the corporate policies of the Company in relation to document circulation and archives. Responsible for accounting for incoming and outgoing documents and timely documents archiving.
• Be responsible for general management of the reception sub contractor staff of the Administration Office, set tasks and priorities for employees together with Contractor Site manager.
• Supports with Budget/ Estimation planning process and follow-up in close cooperation with relevant team members.
• Perform other duties on behalf of the Line Manager and implement other projects determined by the Business Plan / or action plans of the Meeting Place/ or needs.
